The ICGEB invites applications for the post of Project Assistant within the Project “COVID-19: Community Access Diagnostics laboratory networks” (the Project)

BACKGROUND:
The Project builds on the results of a pilot action implemented by the ICGEB https://www.youtube.com/watch?v=F-xSlulkN-4. The primary outcome, to which the present Project will contribute, is the improvement of the diagnostic and surveillance capacity for COVID-19 in the participating countries in Africa through the transfer of scientific knowledge, expertise and technologies, by partnering with reference diagnostics laboratories, and also by actively involving community diagnostic labs, which may have very different conditions and needs. Another outcome will be the consolidation and widening of a network of diagnostic laboratories in Africa, also at community level, that will be in a position to react more steadily and with tailored diagnostic resources available in case of either another resurgence of the pandemic or similar medical challenges.

POST TITLE: Project Assistant

DUTY STATION: Trieste, Italy

DATE REQUIRED: As soon as possible

TYPE OF CONTRACT: Project appointment entirely funded by External Funds, ICGEB P. Reference BMG/21/024

DURATION: Initial period of three months, with possibility of one year further extensions subject to satisfactory performance and project duration.

LEVEL: GS-1/GS-2 (UN salary scale) depending on experience and qualifications

DUTIES: Under the overall guidance and supervision of the Fundraising, Technology Transfer and Innovation Officer, the incumbent will be requested to perform the following duties related to the Project:

a) Support in the technical and financial implementation of the Project, including reporting and partnership coordination. More specifically:

  • assist the Project Manager and the Project Scientific Team in the coordination of the project, including liaising with the partners and the donor;
  • organize Project meetings and prepare Project documents and presentations;
  • participate in the meetings with Project partners and Scientific Team members and draft minutes of the meetings;
  • monitor the implementation of Project activities and deadlines;
  • draft progress and final reports, including checking of Project partners’ contributions;
  • support financial reporting tasks, including collection and entry of narrative and financial data, liaising with the External Funds Administration Office to retrieve financial data from ERP and justification documents, as well as monitoring of project expenditures on a regular basis;
  • support in the preparation of clinical study documents including authorization material to be submitted to the local ethical committee;
  • support in the preparation of project promotion material and dissemination contents.

b) General support to the Fundraising, Technology Transfer and Innovation team;

c) Perform other work-related duties as may be required.

QUALIFICATIONS
Essential: High School Diploma or equivalent.
Assets: University Degree in International Cooperation, Economics, International Studies, Medical or Biotechnology related fields or other relevant disciplines.
A minimum of 1 year relevant work experience in project development and project management.
Experience with international consortia involving field work in LDCs in an international organization and/or in scientific research contexts is an asset.

COMPETENCIES: Proactive approach and motivation to work in team, results orientation, high commitment, accuracy and respect of deadlines, good interpersonal and communication skills, organizational and planning abilities, analysis and reporting. Digital skills (excel, word, PPT, Zoom/Teams, Internet, organizing tools, etc.).
Understanding of diagnostics and surveillance would be an asset.

LANGUAGES: Fluency in English. Knowledge of Italian and French is an asset.
