The International Centre for Genetic Engineering and Biotechnology (ICGEB), established in 1983, is an international, intergovernmental organisation conceived as a Centre of excellence for research, training and technology transfer to industry in the field of biotechnology to promote sustainable global development. The Centre conducts innovative research in life sciences and strengthens the research capability of its over 60 Member States through training, funding programs and advisory services. The ICGEB invites local applications for a position of External Relations & Communications Support on Special Service Agreement (SSA)

POSITION TITLE:                 External Relations & Communications Support

DUTY STATION:                    Trieste, Italy

DATE REQUIRED:                1 October 2023

TYPE OF CONTRACT:         Special Service Agreement (SSA)

DURATION:                            Six months (maternity leave cover)

REMUNERATION:               To be agreed based on experience

DUTIES:                                1. Under the direct supervision of the Chief, External Relations,  the incumbent will be required to perform the following duties:

 

  • maintain and update Member State contacts and annotations on the ID&A (in-house) database, and on the ICGEB website;
  • monitor and respond to queries received on the ICGEB Governance e-mail account;
  • coordinate with ICGEB Offices to compile updated statistics, update and store electronic Country Profile reports;
  • draft, format and send correspondence and documents, including headed letters, notes verbales and meeting/event programmes;
  • assist in official visits to the ICGEB HQ in liaison with the Office of the Director-General;
  • set-up and host online ICGEB Awareness Workshops on a Zoom platform;
  • prepare and send invitations and follow-up correspondence with the Board of Governors and other officials from Member States, Observer Countries and Multilateral Organizations as required;
  • collaborate with the ICGEB Team for the organisation of the annual Board session.

 

  1. Under the direct supervision of the Head, Communications, Public Information & Outreach, the incumbent will be required to perform the following duties:

 

  • maintain and update the list of ICGEB Alumni on the internal database, monitor the Alumni e-mail account and provide the required information;
  • update the ICGEB Website, including monthly updates for personnel listings, Group and Principal Investigator pages, and ICGEB Vacancy announcements;
  • assist in communications and outreach activities, in coordination with the international Communications & Outreach team and in line with the Communication Strategy. Take and post photographs, social media posts and/or draft new items on the ICGEB website;
  • publish social media posts announcing ICGEB Seminars and create related Facebook events, create Facebook events for the ICGEB meetings, courses, and workshops. Monitor Facebook and LinkedIn Alumni Groups;
  • contact and meet ICGEB external project Fellows to draft and publish testimonial posts/videos; report on these actions to the Projects Office.

 

QUALIFICATIONS:               High school diploma or equivalent. University degree in International Relations, Communications or related fields is an asset. A minimum of 2 years relevant work experience in external relations. Experience in an international organization is an asset.

  • Meticulous attention to detail, accuracy and respect for deadlines
  • Excellent digital skills (Microsoft Office tools, database management, social media promotion tools, website-building tools, Zoom/Teams as conference tools etc.)

 

LANGUAGES:                       Fluency in English and Italian is essential.
