The ICGEB invites applications for the post of External Funds Junior Assistant

POST TITLE:                         External Funds Junior Assistant

DUTY STATION:                   Trieste, Italy

DATE REQUIRED:                As soon as possible

TYPE OF CONTRACT:         Fixed term appointment

DURATION:                           An initial period of three months, with possibility of one-year extensions subject to satisfactory performance

LEVEL:                                   GS-1 (UN Salary Scales), 50% part-time

DUTIES:                                Under the direct supervision of the Head, External Funds Administration, the incumbent will be required to assist with:

  • Preparation and submission of debit notes/invoices/payments to partners in line with donors’ requirements;
  • Preparation of EFR (External Fund Receivable) form for proper recognition of the revenue;
  • Monitoring scientific and administrative deadlines;
  • Preparation of reports, statements and requests on projects and activities for donors, coordinators, and partners;
  • Preparation of required documentation in reporting to the Donors;
  • Update of database for External Funds;
  • Execute transactions on the ERP related to:
  • Donor creation (general data, type of donor/reconciliation, payment modalities)
  • Fund and grant creation (association with the donor, general data, posting, dimensions)
  • Budget creation/release/revision/monitoring
  • Extraction of data for reporting purpose

QUALIFICATIONS:               High School Diploma or equivalent. University degree is an asset. At least 1 year of experience in donor funded projects and programmes.                                            

COMPETENCIES:                Ability to work in a team, problem-solving, accuracy, good interpersonal and communication skills, good knowledge of Microsoft Excel, digital skills and interest in working in a multicultural environment. Accounting and experience with SAP are an asset.

LANGUAGES:                       Fluency in English. Italian is an asset.
